IT Strategy: Burns Carlton

Barclay Jones managed us through a massive program of change, implemented a sales focussed, best practice IT function, reduced our costs and has enabled us to focus on the business during the challenges of the current economic climate.

Burns Carlton is a leading supplier in executive and mid-market recruitment. Based in Leeds, with a second office in London, it has 40 staff.

When Burns Carlton approached Barclay Jones their systems were not supporting the processes of the business, and there was a large spend on manual back office administration. Systems were unreliable, slow and prone to failure. Users did not trust the systems and had created offline data silos, thus there was little management information in the business.

An intensive audit of IT and back office support was conducted and we agreed a project with the client where a Virtual IT Director could add value:

  • a restructuring of the IT and Operations departments - administration spend was re-routed to the creation of new IT, Marketing and HR roles
  • Intelligent use of market-leading recruitment software and the recruitment of a professional systems trainer to decrease manual administration spend and increase the speed of the sales process
  • the website was redesigned to give enviable google rankings and business leads, an improved user experience and savings in administrative spend
  • Suppliers were reviewed and annual IT contract costs were reduced by £30,000
  • Support contracts and business continuity plans were implemented reducing risk to the business
  • The CRM system was re-engineered and designed to emulate the processes of the business, enabling increased speed of sales delivery and management reporting
  • Head office needed to relocate from Harrogate to Leeds. This was achieved with no downtime or business interruption and the sales force were able to begin trading immediately

The project took 1 year to deliver, and enabled the business to grow rapidly into its new office in Leeds. IT spend was reduced by £30,000. User experience improved: they took ownership of their systems and used their CRM system to record all activity, enabling faster response times, inmproved client relationships and accurate management information with which to manage the business and its staff.

IT, once a fire fighting function, became a value-added service, delivering projects in line with business goals.
