Stafflex: Office Relocation Case Study

Stafflex

It’s not often you move head office, but when you do you need it to go smoothly. I enlisted the experienced Barclay Jones to plan and manage our office relocation, which meant I could continue to manage the business without the distraction of the move. The move went perfectly, communication was very good and budgets adhered too.

An office move can be one of the most disruptive, yet exciting aspects of any business that is growing.  The possibility of major interruption to the business is a significant risk, along with the numerous contracts that need to be sorted out; there is also the risk of making a costly mistake.

Relocating Stafflex began with us gaining a clear understanding of the requirements, timescales and budgets the project had to work towards.  A project plan was draw up, agreed and then distributed to the business to outline the plan of action.

The brief included:

  • Sourcing local suppliers to fulfil specific requirements
  • Detailing and managing the budget
  • Managing contracts and suppliers
  • Manage IT and Telco transitions
  • Suggesting and implementing improvements to the new office that would facilitate future growth
  • Ensuring there was always a Plan B
  • Communicating to the directors how the move was progressing, budgets and timescales
  • Communicating to the business their roles, responsibilities and managing their expectations

The project took a couple of abrupt and unforeseen turns and saw a planning office application delay the project by 7 weeks. During this time we kept the pressure on the planning office to provide an answer quickly along with keeping all the suppliers informed as to possible start dates and contract signings. Our experience in office relocations also played a significant role in re-assuring the business everything was OK.

The move was a success; the client was able to begin trading as soon as the move was complete.  They were delighted with the project management, communication and budget management.
